We reserve the right, at our sole discretion, to change or modify portions of these Terms of Service at any time. If we do this, we will post the changes on this page and will indicate at the top of this page the date these terms were last revised. We will also notify you, either through the Services user interface or through other reasonable means. Any such changes will become effective immediately or no earlier than seven (7) days after they are posted in certain cases, except that changes addressing new functions of the Services or changes made for legal reasons will be effective immediately. We will not be liable for any costs, damages, and expenses from any fault or cause whatsoever, and including but not limited to liability for changes in travel, travel interruption, or prevention or limitation of travel and resulting expenses and costs, whether such damages, expenses or costs be incidental, direct, consequential, special, exemplary, or otherwise, and including but not limited to loss of profits or income, in excess of any service fees paid by customer for visa, photo or passport processing, regardless of circumstances, whether or not we had knowledge that such damages might be incurred and whether or not we may be, or may be responsible for, a contributing cause.
Delivery Times:
We make its best efforts to meet the delivery times but we does not guarantee any delivery times. We will not be responsible in any respect or for any amount for delay or loss caused by events that we cannot or do not control, including but not limited to weather conditions, acts of God, war, acts of public enemies, civil commotions, strikes, or acts or omissions of public authorities (including Government website delays our outages).
We are not responsible for the actions or inaction of the Government of any country officials and personnel. Weis not and shall not be responsible for the actions and inactions of the Government of any Country. Processing time for tourist visas, passport renewals and photo services, is quoted by us as approximations based on our experience with relevant Governments. We are not and shall not be responsible for processing times. While we strive to provide complete and current information, we cannot guarantee that the information supplied is the most complete and current. we are not and shall not be responsible for such information.
Disclaimer of Warranties:
Your use of the service is at your sole risk. The service is provided on an “as is” and “as available” basis. Payment:
We use third-party payment platforms such as Spreedly, Paypal, Stripe, Paysafe, WePay, Adyen and Braintree. We do not store credit card data. All transaction information passed between us and the previous payment platforms is encrypted using 256-bit SSL certificates. No cardholder information is ever passed unencrypted. You can be completely assured that nothing we pass to these payment processor servers can be examined, used or modified by any third parties attempting to gain access to sensitive information.
Cancellation and Refund Support for Travel Documentation Services
At Japane visa, we understand that travel plans can change unexpectedly. Our cancellation and refund policy is designed to ensure fairness and transparency while complying with immigration regulations. Please review the guidelines below for a smooth process.
Eligibility for Cancellation
- Cancellation requests must be submitted within 1 hour of order placement for orders under the Normal processing category. For urgent, rush, and super rush processing requests, cancellation requests must be made within 15 minutes of order submission.
- Cancellation requests are allowed if the application has been submitted but has not yet been processed by government authorities.
- Once the application is submitted to the senior government consulate for review or is under review / approved, cancellation requests may not be accepted.
- If the customer fails to submit the required documents & Information on time, the order may be auto-canceled without a refund.
- If an application is cancelled & rejected, cancellation is no longer possible, and the fee is non-refundable.
- If the customer submits duplicate applications, they may request cancellation of one before processing begins.
- If the customers no longer wish to travel, they may request cancellation before processing starts.
- If additional documents are requested and not provided within the given timeframe, resulting in rejection, a refund may not be possible.
- Refunds will not be issued if a visa application is cancelled or denied due to incorrect, incomplete, or misleading information provided by the customers. While we strive to assist customers throughout the process, the accuracy and authenticity of the submitted details remain the customer's responsibility.
- If duplicate payments occur, customers must submit proof of both transactions to be eligible for a refund. Refunds for duplicate payments will be processed after verification and may take 3-5 business days to verify.
Refund Policy
- Refunds will be granted if cancellation is requested before processing starts.
- If the customers cannot travel due to force majeure events (e.g., medical emergencies, unforeseen personal circumstances), cancellation requests will be reviewed based on whether processing has begun.
- If technical issues affect the visa processing system, cancellation, and refund requests will be reviewed accordingly.
- Customers must ensure their visa validity aligns with travel dates before applying. If plans change, cancellation must be requested before processing starts, as no changes are allowed once processing begins.
- If the wrong visa category is selected, cancellation and refund may be possible only if requested before processing starts with the senior government consulate.
- Refunds will be issued using the same payment method as the application; alternative methods are not allowed.
No Cancellation or Refund Policy

Once issued, documents/visas cannot be canceled or refunded. If a customer chooses not to use an approved or obtains a approved documented, the issued documents remains valid for its duration and cannot be revoked. - Non-Refundable Fees
- Application Fees are non-refundable, regardless of travel plans or changes after issuance.
- Incomplete Documentation: If an applicant fails to provide the required documents or information, no refund will be issued.
- Government Rejection: If an application is denied due to past violations, ineligibility, or any other reason related to the applicant’s profile or documentation, the fee remains non-refundable.
- Government Denial

- Ineligibility (e.g., criminal record, travel restrictions)
- Profile or Document Discrepancies
This policy applies in all cases. Applicants should review requirements carefully before applying to avoid losing their fee.
Processing Time for Cancellation & Refund and data security
- Cancellation and refund requests are typically processed immediately. However, the refund can take 4-17 business days to reflect in your bank account.
- Your provided personal data and details will be automatically removed from the system once your application is cancelled.
Additional Considerations
- Refund Fee: A processing fee of $20 or more may apply to refund requests. This fee may vary for currencies other than USD and is subject to market conditions, covering banking and processing costs.
- Refund Cancellations: Refunds may be canceled due to issues arising from the customer’s side.
- Currency Variations: The refunded amount may differ slightly from the original payment due to fluctuations in currency exchange rates.
